How to reschedule a client appointment without ten messages
A change of plans does not need to become a long conversation. Use one clear message, offer real available times and update the calendar immediately.
A client asks to move an appointment. Or your own plans change and you need to suggest another time. What should take two minutes often turns into a chain of messages: “What about Tuesday?”, “Only in the evening”, “Is 18:30 still free?”
The problem is not the reschedule itself. It is the absence of one clear process. A short message, a few real alternatives and an immediate calendar update are usually enough.
1. Check the appointment before replying
Open the appointment and confirm the service, duration and current time. Then look at the surrounding schedule, including the preparation or break you need between clients.
Do not suggest a time from memory. A slot that appears free in a chat may already be occupied in the calendar or may be too short for the selected service.
2. Offer two or three real alternatives
Give the client a small choice instead of asking an open question such as “When can you come?” For example:
I can move your appointment to Wednesday at 14:00 or Thursday at 17:30. Which time suits you better?
Only offer times that are currently available and long enough for the service. Two or three options make it easier to decide without creating another long discussion.
3. Put all important information in one message
Mention what is being changed, the available alternatives and what the client needs to do next. If you initiate the change, add a short apology, but do not bury the options inside a long explanation.
A clear message reduces misunderstandings:
I’m sorry, I need to move your manicure appointment on 8 August at 12:00. I can offer the same day at 16:00 or 9 August at 11:30. Please tell me which option works for you.
4. Do not rely on chat as your calendar
Messages show the conversation, not the final state of your schedule. A client may agree in Instagram, while the old time remains in one note and the new time exists only in your memory.
Keep the change visible until it is confirmed. As soon as the client chooses a time, update the appointment in KLIOSO rather than planning to do it later.
5. Send one final confirmation
After changing the appointment, send a short confirmation containing the service, new date and time:
Done — your manicure is now booked for 9 August at 11:30.
This final message closes the conversation. Both sides can return to it without rereading the entire chat.
6. Check the calendar after the change
Make sure the appointment appears at the new time, the old slot is no longer occupied and no duplicate was created. Check the duration as well: moving the start time should not accidentally shorten the service.
If you promised the old time to someone on a waiting list, offer it only after the reschedule is confirmed.
7. Give the client a clear self-service route when available

8. Prepare two saved message templates

Templates save time, but they should never contain old dates copied from a previous conversation. Read the message once before sending it.
9. Notice repeated reschedules
An occasional change is normal. If the same client reschedules frequently, discuss a simpler arrangement: a different day of the week, a more suitable time or booking closer to the visit.
The goal is not to punish the client. It is to find a schedule that both sides can realistically keep.
